Company Party Photo Sharing: Collect Photos from Your Team in One Album
After a company party, team event or year-end dinner, the photos are spread across dozens of phones and group chats. Someone in HR or in the events team ends up asking for them one by one. This guide explains how to collect company party photos in one album with a QR code, how to keep control over what colleagues see, and how to share the best ones afterwards.
Why company event photos are hard to collect
- Colleagues use different apps and chats. Photos end up in team channels, private chats and personal clouds.
- Quality is lost. Messengers compress photos and videos.
- Privacy matters. Not every photo should be visible to everyone, especially after a few drinks.
- Nobody owns the task. Photos from the event are everybody's and nobody's job.
A shared album gives the event one place for everything and a clear owner.
What a good company event album needs
- Easy upload for everyone. No app and no account, so even the CEO can do it in ten seconds.
- Owner control. The organiser can review, hide or keep photos for friends before they are visible to everyone.
- High quality. Photos and videos should not be compressed more than necessary.
- Export. One download with everything for the intranet, a newsletter or a year-end video.
- No cost for guests. Colleagues should not have to pay for anything.
How to run it with a QR code
- Create an event album with the name of the event and a short greeting.
- Print the QR code on a sign, a table card or the programme. You can also show it on the screen between speeches.
- Tell people in the invitation and in a short announcement.
- Colleagues scan and upload from their phone browser during and after the event.
- You review and share: hide anything inappropriate, and download everything as one ZIP at the end.

Create an event album →Keep control: hold guest photos
For company events, the Hold guest photos option is useful. When it is on, every uploaded photo waits for the owner's approval, and until then nobody else can see it. You can then show a photo to everyone, keep it for friends only, or hide it completely. A guest can delete only their own uploads and cannot edit the album. This gives the organiser a calm way to publish only the pictures that fit the company culture.
Photos at work: be considerate
- Tell colleagues in advance that photos will be collected and where they will be used.
- Let people ask for a photo to be removed. The owner can hide any photo.
- Do not publish photos externally, for example on a company website or social media, without clear consent.
- Check local rules and your company policy on photos of employees.
This is general good practice, not legal advice.
Which events fit
- Year-end or holiday party: the classic. A QR code on each table gets the photos going.
- Team building day or offsite: colleagues upload from different places during the day.
- Conference or seminar: one album for all sessions and the networking evening.
- Product launch or open day: guests and staff upload, and marketing downloads the ZIP and picks the best.
- Anniversary or farewell: a keepsake album for the team and the person leaving.
Collect more than photos
- Video greetings from colleagues for a farewell or an anniversary.
- Chapters such as "Dinner", "Awards", "Karaoke".
- Voice notes from the organiser next to the photos.
- A guest list with counts shows how many photos each person uploaded; guests who did not sign in appear as anonymous.
What the album gives you
- Photos stored at up to 4K (3840 px on the long side), videos up to 50 MB per file
- A ZIP download of everything, sorted by chapter, with a text file of captions
- Storage for 6 months from the first upload, with an option to extend
- Uploads that stay open: there is no upload window that closes after a day
- A QR code and printable sign right after you create the album
Prices
Event albums are a one-time purchase: Small $39.99 (recommended for up to about 100 guests, 100 GB), Medium $69.99 (up to about 250, 200 GB) and Large $129.99 (up to about 500, 400 GB). Guests never pay. For other options, read our group photo sharing guide.
Good to know
Albums.ink is a website, so there is no mobile app. There is no live photo wall for the venue screen, no printing, and no AI or face recognition. The venue needs internet; without a signal guests can scan the code and upload later.
After the event
- Share the best photos with the team, for example in a newsletter, as a downloaded ZIP.
- Make a short slideshow for the next meeting.
- Keep the ZIP as a copy outside Albums.ink.
- For party decorations and a photo booth, see our Christmas party photo booth ideas.
Common mistakes
- Forgetting to announce the QR code.
- Leaving all photos visible without review.
- Posting photos externally without consent.
- Waiting weeks before collecting the photos.
